First Month Considerations

  • Discuss requesting and reporting leave with new employee.

    • Department or unit specific expectations may be included here as well. For instance, some departments or managers may host goals check-in sessions throughout the year with new staff, but that is not required by Student Life or UA.

  • Schedule meetings with departmental collaborators within Student Life and external to Student Life with which this new staff member may interact.
  • Schedule an introductory meeting with the Office of Communications and External Engagement if the job responsibilities include any of the following: newsletters, graphic design, social media, communication, fundraising, ordering promotional items, dealing with UA or departmental wordmarks and logos, preparing presentations for external audiences or any other communications related activities.
  • Review departmental emergency action plan and other emergency protocol for facilities of use, office space and commonly used areas.
  • Overview department or unit milestones that the new employee should be aware of. These can include divisional or departmental meetings, University-wide holidays, major departmental events such as parents’ weekend, homecoming, inventory or supply orders, etc.
  • Update UA directory for new staff listing to include preferred name, office or department, office phone number and email. To access specific instructions on how to update the directory, visit the directory help page.
  • Review department or unit policy and procedure for professional development.
    • Outline departmental guidelines for this position (include approved budget, expectations, virtual and in-person opportunities, eligible off-campus opportunities and on-campus events).
    • If this staff member will travel off campus (conferences, presentations, committee service, recruitment trips, etc.) he or she needs to be processed through Concur for future reimbursements.
  • Circle back with new staff to ensure they have completed their benefits enrollment within the first 30 days of employment.
  • Ensure new employee has access to outlook calendars for fellow staff, supervisors or direct reports as needed.
  • Review departmental or unit budget, revenue and expenses, fiscal year parameters, financial tracking expectations, etc. For those staff members receiving a P-Card, this should be completed prior to receiving that P-Card.
  • Complete necessary forms or trainings if the individual will be driving state vehicles.
    • Complete Motor Vehicle Record Release Form if applicable to position held by new employee.
    • After the form is approved, employees will have to complete driver safety training available via LMS.
    • If necessary for position description, employees will have to complete Van training.
