Keep these considerations in mind prior to the new employee’s first day of employment.
- Send communication to current departmental staff about new staff member’s start date and email to contact them as needed.
- Send communication to new staff member about new employee orientation, directions to the office, parking options, office attire and other pertinent information.
- Create training plan for the new employee(s). It is also a best practice to share this training plan with the new employee prior to their first day of employment.
- Add new staff to department website while awaiting headshot.
- If this new staff member has a physical location, such as an office space, consider updating their nameplate prior to their first day.
- Update office phone display to ensure that desktops/laptops are ready for new staff to access. The Office of Information Technology is a helpful resource in assisting with these needs.
- Ensure new staff member(s) have necessary contact information for departmental contacts and vice versa.
- Update departmental organization chart.
- Identify employee benefits that must be discussed with you as the supervisor (employee benefit process form, compensation for additional degrees, flexible work arrangements, etc.)
- Ensure keys are ordered or available and the new staff member(s) has access to any buildings that are access controlled they might need.
- It is encouraged to put together an arrival packet for new staff members (either printed or digital) that includes necessary items for the new staff member. Some helpful information may include their position description, departmental contact information, organizational chart, name tags, etc.
- If your department or unit uses an employee handbook or employee guide, ensure this document is up to date before their day of employment.
